Job Description
To execute duties in the following areas and any other duties that may be assigned by Senior Management or HOD GA;


1. General Expense payment including preparation of payment authorization and internet banking transaction
2. GST settlement operations
3. Daily reconciliation of expenses and balance sheet (PDF Filing)
4. Monthly reconciliation of bank token, usb, SD cards, and prepaid cards
5. PDF Filing of NOVAS output
6. Preparation of funding request
7. Budget input
8. Computation of business trip expenses
9. Managing the Branch’s subscription of newspaper and information tools
10.Prepare monthly exchange rate list


1. Physical verification of fixed assets and furniture and fixtures (F & F)
2. Attending to various maintenance works and renewal of maintenance agreement for FCU, copy machine, vending machine, etc.
3. Procurement and stock checking of consumables and vending machine
4. Preparation of depreciation ringi
5. Annual verification of furniture and fixtures and office equipment


1. Opening and Closing of main entrance
2. Distribution of newspaper and magazines
3. Locking/ Unlocking of cabinets
4. Visitor support (including serving tea) and attending to incoming calls,
5. Preparation of postal and courier services, and mail distribution
6. Preparation of annual document retention and disposal
7. Preparation of various files
8. Renewal of company hand phones Page 2 of 2
9. Renewal of postal service agreement
10. Periodic maintenance of the Branch’s air conditioners, vending machines, copiers, and other equipments
11. Procurement of branch F&B, sundry, stationery(Including name cards, stamps), FS (disclosure), HO calendar and diary
12. Monthly verification of indenture list
13. Other miscellaneous works
To provide support and cover duties for GA Department, where and when required.

Requirements
1. Proficient in MS Excel, Word and PowerPoint
2. Multi-task team player
3. Excellent interpersonal skill and communication skill
4. Proficiency in spoken and written Japanese to liaise with Japan HQ
