- Secondary : Management
Job Description
Secretary to Management Team
- organize appointments, travel plan and calendar
- responsible for advising relevant driver/s on offsite meetings/appointments
- travel arrangement, including flights booking, visa application, hotel reservation, travel application and notification to head office accordingly
- travel reimbursement upon management return from overseas trips
- miscellaneous expenses claim for management
- filing matters
- screen and attend to incoming calls
- handle management’s apartment matters when necessary
- entertainment arrangement (golf, tennis, meals etc)
- handle enquiries when necessary
Administration
- attend to incoming correspondences, newspapers, magazines etc. Re-route to the appropriate department or person accordingly
- assist in clearing the “OUT’ trays of Management and forward correspondences/document to relevant person or department thereafter
- receive and attend to visitors, when necessary
- courier/DHL and by-hand arrangement
- shredding and warehousing of document
- stationery requisition

Requirements
Relevant qualification and working experience (Must have experience supporting senior management and min of 6 years of experience)
- Proficiency in Japanese is required to use internal/external communication
- Excellent writing & communication skills
- Excellent experience of secretary
- Good office technical skills
- Good time management skills
- Excellent inter-personal skill with professionalism
- Strong organizational skills
- A committed team member with good team sprit
