Job Description

- Comprehensive coordination across departments and liaison with the Cabinet Secretariat and the Ministry of Foreign Affairs regarding the issuance and extension of passports, visas, certificates of acceptance, residence permits, work permits, and identification cards for related personnel.
- Updating and managing personnel rosters, emergency contact networks, and division of duties charts.
- Conducting orientation sessions on general affairs matters for newly assigned staff.
- Overall coordination and administrative tasks related to receiving new personnel and delegations.
- Overall coordination and administrative tasks related to housing lease agreements for related personnel.
- Registration of official documents, management of internal and external storage, and overall compilation.
- Logistics for domestic travel of delegations and internal business travelers (such as arranging rental cars, flights, hotel accommodations, mobile phone rentals, etc.), and budget management.
- Special administrative tasks related to procurement duties assigned by the office.
- Implementation and support of general affairs tasks assigned by the office.

Job Requirement

・Associate Degree or higher
・Over 3 years of work experience from related roles (HRGA, Secretary, Personal Assistant, etc.) preferably from service company, international or governmental organizational
・Business level of Japanese (JLPT N2) 
・Business level of English
・Knowledge of the issuance and extension of passports, visas, residence permits, and work permits
・Basic proficiency in Microsoft Word and Excel
・Good communication skills
・Able to join immediately
